Who We Are and What This Policy Covers

NextGenMillen Consulting is based in Vancouver, British Columbia, Canada. This policy explains how we handle personal information when you visit this website, contact us, or work with us on website design, search engine optimization, website support or business consulting.

It applies to personal information under our control. Client websites linked in our portfolio are operated by separate businesses and have their own privacy practices. Where we process information for a client as part of an engagement, the client’s instructions, the service agreement and applicable law also govern that work.

Our Privacy Contact is responsible for privacy questions and requests. The contact method is provided at the end of this policy.

Information We Collect

Information you provide. This can include your name, email address, optional phone number, business name and location, website or social-page address, requested services, project description, budget, referral source and the messages you send us.

Client and project records. When you engage our services, we may also receive proposal and approval records, billing information, project materials and access to website or reporting accounts needed for the agreed work. Please share other people’s personal information only when you are authorized to do so.

Website and technical information. Our website, hosting systems and analytics tools may process an IP address, browser and device information, approximate location, referral information, visited pages, timestamps, interactions and cookie or visitor identifiers. The information available depends on the tools, settings and browser permissions involved.

Please do not send passwords, full payment-card details, identity documents, health information or confidential customer records through the general inquiry form. When sensitive information is genuinely needed for a project or to verify a request, we will discuss an appropriate method of sharing it.

How We Use Information

We use relevant information to respond to inquiries, assess project fit, prepare proposals, communicate about work, deliver agreed services, manage invoices and records, support websites, and handle privacy requests. We also use technical information to maintain the site, prevent abuse, investigate faults and understand how visitors find and use our content.

We limit collection, use and disclosure to appropriate purposes connected with these activities, your consent where required, or another basis permitted by applicable law. Contacting us about a project does not, by itself, subscribe you to unrelated marketing messages.

Cookies, Analytics and Spam Protection

Cookies and similar browser storage can support website functions, security and measurement. The site may also produce server logs independently of cookies. Browser settings can limit or delete cookies, although doing so may affect some functions and does not necessarily stop every type of technical logging.

Matomo analytics. We use Matomo through our WordPress website to understand traffic sources, visited pages and interactions. Analytics records are held within the website’s hosting environment. Depending on its configuration, Matomo can use first-party cookies or visitor identifiers and process the technical information described above.

Google reCAPTCHA. Our forms use reCAPTCHA to help distinguish genuine inquiries from automated submissions. Google may process technical and interaction information, including IP and browser information, and use cookies for this service. See Google’s Privacy Policy and Terms of Service.

You may contact our Privacy Contact for more information about the tools and controls used on this website. The analytics control below applies to Matomo; it is not a control for Google reCAPTCHA, essential security processing or every third-party service.

Matomo Analytics Choice

The control below lets you opt out of Matomo measurement in this browser. The choice is browser-specific and may need to be set again after clearing browser data or changing devices. It does not delete records already collected.

You may choose to prevent this website from aggregating and analyzing the actions you take here. Doing so will protect your privacy, but will also prevent the owner from learning from your actions and creating a better experience for you and other users.

When Information Is Shared

We do not sell personal information. We may share information with service providers where needed for website hosting, form delivery, business communications, project collaboration, accounting, payment processing or technical support. Access is limited to the purpose of the service, subject to appropriate safeguards and applicable law.

We may also disclose information with your consent, to professional advisers where necessary, or where disclosure is required or permitted by law, such as responding to a valid legal request or addressing fraud or a security incident.

You can ask our Privacy Contact for further information about service providers handling your information and the purposes for which they receive it.

Where Information May Be Processed

Information may be stored or accessed in Canada or in other countries where our hosting, communications, project or payment providers operate. Our location in Vancouver does not limit processing to Canada.

Information processed in another country may be subject to that country’s laws and lawful access by its authorities. We remain responsible for information under our control and consider appropriate protections when using service providers. Contact us to ask about the providers or processing locations relevant to your information.

Retention and Security

We retain personal information for as long as it is reasonably needed for the purpose for which it was collected and for applicable legal, accounting, contractual or dispute-resolution requirements. Relevant factors include whether an inquiry becomes a project, whether support is ongoing, whether a record is needed to address a request or dispute, and any minimum retention period required by law.

When information is no longer needed and no retention obligation applies, we take reasonable steps to delete it or remove its association with an identifiable individual. Backup copies and legally required records may remain for a period rather than disappearing immediately after a deletion request.

We use reasonable safeguards appropriate to the information, including limiting access and protecting the systems used to handle it. No website, transmission method or storage system can be guaranteed completely secure.

Your Choices and Privacy Rights

You can ask about our privacy practices, request access to personal information we hold about you, and ask for inaccurate information to be corrected. You can also ask us to stop optional uses, withdraw consent where applicable, or delete information that no longer needs to be retained. Rights and exceptions depend on the law that applies to the request.

We may need enough information to confirm your identity and locate the relevant records. We will not ask for more verification information than is reasonably necessary. We respond within applicable legal time limits and explain any permitted extension, restriction or fee before it applies.

Withdrawing consent may limit our ability to provide a requested service. It does not automatically require deletion of information we must retain by law or to meet another permitted obligation. Where we send promotional messages, you can use the unsubscribe method in the message or contact us to stop them.

Other Websites and Client Materials

Links to client projects, social platforms and other websites take you to services operated by others. Their privacy policies apply to information you provide to them.

When a service engagement involves access to a client’s customer or employee information, we establish the permitted access, purpose and responsibilities in the project agreement. This public policy does not replace those arrangements.

Policy Updates

We may update this policy to reflect changes in our services, tools, practices or legal requirements. The date at the top of the page identifies the latest revision. Where a change requires additional notice or consent, we will provide that notice or seek consent as required. Publishing an updated policy is not, on its own, consent to an unrelated use of your information.

Use our inquiry form and identify your message as a privacy question, access request, correction request or other personal-information request. You do not need to purchase a service or provide a project budget to raise a privacy matter. Provide a way to respond and enough detail to understand your request, without including sensitive documents in the first message.
